How to write short notes

Basic rules:

Brevity: choose the right words in order to convey the message

Select: leave out unecessary words, being sure that the receiver will catch your selection,

Register: informal, but i depends on the relationship between the writer and the reader,

Form: brevity doesn't mean being rude. Choose words carefully.

In short text we often omit pronouns, articles, conjunctions and prepositions because we know or

hope that the reader will insert them while he's reading. Usually every note has an underlying

message, that explains why and how which aren't written in the note.

We frequently use the passive, for two main reasons: both writer and reader are focused on the

action not on the person doing the action the passive i more neutral and has soft tone, which are

more suitable for this type o f text.

To resume:

1. Brevity;

2. Selection of the right words;

3. Formal but not too formal Register;

4. Not “rude” Form.

Moreover, we’ve seen that in short messages

• we omit both the name of the writer and the one of the reader;

• we omit some grammar words;

• we don’t find any information about when and why the message has been written;

• the writer often uses the passive.

Short notes in particular occasions:

• birthdays greetings: Make sure you write and send the card before the actual day, , try to

communicate how well you know that person, not everyone is happy to get older,When you

write you greetings card, try not to focus on the age, but focus on the person and his/her best

qualities! tell the addressee how special he/she is for you!

• celebratory cards: includes in your congratulationsnot only the person who has achieved

a specific goal, but also his/her family or partner or members of the team he/she works; ,

Never judge or give advice, Wish him/her luck and support for the future.

• condolence cards: Avoid expressions like “Now he/she’s in a better place” or “He/She is

suffering no more”: Don’t be afraid to use the name of the person who passed away, Focus

on the best qualities of this person and the memories he/she, don't use personal opinion on

death, it might not be the same for the reader.

How to write informal letters It is a text you write toa person you're familiar with: a friend, a

relative, etc. In addition to give news, we ask for information, give advise, show interest and

enthusiasm.

An informal letter is composed by:

address – top right corner of the page (str.name and numb, postal code, city and country)

date – below your address, BRE day,month,year, AME month,day,year)

opening – Dear/hi + name, don't forget comma after the name!

Body- ask and give infos, make invitations, suggestions, requests, etc.Divide into paragraphs (first:

the reason you're writing, second and others: expand what you've mentioned, final: conclusions)

closing – reason why you're ending the letter, send greetings and future contacts with a closing

statement

signature Your first name follows on another new line .

Informal E-mail It's an eletronic text you write to anyone you're familiar with or to know new

people.

You can write an informal e-mail:

• To make new friends;

• To say «hello» to a friend/relative;

• To invite a friend/relative to an event;

•To talk about common interests;

• To apologize for the lack of contact;

•To update your friends/relatives on your life;

• To be updated on your friends’/relatives’life.

• To make a request;

• To inform your friend/relative that you’ve heard something about them (news, achievements) and

want to tell them how you feel.

the title Choose a title to summarize the content and write it in the object box.

the opening greetings: The best and simplest way to open an informal e-mail correctly is adding

greetings to your friend’s/relative’s name followed by a comma, Leave a space after the opening

greeting and ask your addressee: “How are you?” or “How you doing?”. You can also not to ask

questions, but write instead “I hope you’re doing well”

the body If it's the first time you write to this person, introduce yourself by saying your age,

nationality, interests, daily routine, family and studies.

Don't write in capital letters

you can use emojis and contracted froms

you can underline important words by using bold print or colours

closing Before adding your signature, it is a good thing to add a closing remark. In this part of the

text:

• Send wishes;

• Let your addressee know that you’ll wait his answer; •

Tell your addressee you hope to see him/her soon.

Conclude with expressions such as «Love» or «best wishes» and then add your signature.

When you write, don't forget to add contact information, date and time of arrival and departure,
